If you have team members who are responsible for submitting SVB card expenses on behalf of others, or if you have cards that are shared between employees, you can assign a delegate in SVB T&E.
Assigning a Delegate
As an admin, you can add employees to be delegates of another's employee's cards. To add a delegate, navigate to the "People" page and click the "Edit" button to right of the user's profile that you wish to add delegates to.
In the profile modal, select the user(s) who needs access to this person's corporate cards in the Delegate field.
You can assign more than one employee as a delegate. To add another delegate, click the drop down menu again and select another employee.
Each Delegate will be listed in the employee's row of the People table, and you can hover over the icon to view the employees assigned as the delegates.
To remove a delegate, edit the employee's profile again by clicking the "Edit" button.
Then clear out the employees in the Delegate field by clicking the "X" button.
What does this look like for the Delegate?
Once an employee has been designated a Delegate, they will see a new toggle when they log into their account. This will allow them to toggle between their own account, and their Delegate account where they can view the pending transactions of the user's they are assigned to.
To view the transactions, the employee will toggle to the Delegate view, and then click 'Transactions'. This page will show all the pending transactions of the user's assigned to them. The delegate can also toggle between Submitted and Completed transactions.
The Delegate can search for a specific transaction or sort by 'User', 'Category', 'Transaction Status' and more to easily find the transactions they are responsible for submitting.
The Delegate can either submit directly or click the three dots to edit the transaction to add the necessary details before submission.
Editing will pop open the regular expense submission window. The card holder's receipts will be available from the "Browse Receipts" button.
Please Note: Delegates can only submit corporate card expenses for the designated user(s). Delegates are not able to submit reimbursable expenses for these users.
What if I'm already an admin in the account?
If you are already an admin, nothing will change for you. As an admin, you always have the option to expense on behalf of others or skip the transactions right from the "Transactions" page. Just narrow down the transactions using filters, and the "Menu" button next to the transactions you'd like to submit.
