You can easily export your expense data from SVB T&E with our CSV or PDF export options. Admins can export information about company-wide transactions, managers can export information about their own transactions and the transactions of the individuals they manage, and employees can export information about their own expenses.
You can also create a custom export template if you'd like to customize which columns are included in your CSV exports.
*Please Note: If you need to export expense data for your accounting platform, the quickest way to do that is to go to your Company Settings > Company Bank Accounts > Reimbursement Bank Account > Reimbursement History. There, you can click Download CSV to download and export the expense data tied to specific outgoing bank transfers. It's a one-click approach to getting the relevant expenses you need to book to bank transfers in your platform.
Export Corporate Card Transaction Data
To export data about transactions from the corporate card programs connected to your SVB T&E account, click Transactions on your Personal, Manager, or Admin sidebar.
By default, you will be brought to a list of all of your Needs Review transactions, but you may click the tabs above the list of transactions to view transactions in each section that meet these criteria:
- Needs Review: Card transactions that are awaiting your review and approval
- Needs Manager Review: Card transactions that are awaiting review and approval from other SVB T&E approvers
- Pending Submission: Card transactions that have not yet been submitted for approval in SVB T&E by the cardholder
- Denied: Card transactions that have been denied by an approver
- Completed: Card transactions that have been submitted for approval and approved
You may use the filters at the top of the page to focus on a specific subset of card transactions.
You may also save your filter criteria and reuse it if there are multiple exports that you need to run frequently on the Transactions page. See Available Advanced Filters for Expenses and Transactions for more details.
1. To export all transactions that meet your filter criteria, click Export.
*Note: If you don't want to export all transactions that meet your filtered criteria, you may also check the boxes next to the individual transactions and click Export.
2. By default, the export will include transactions in the section that you were in on the Transactions page when you clicked Export, as well as any filters you had applied. Click the buttons to select and deselect which types of transactions you would like to include in your export.
*Please note: Transactions under Pending Submission will not include any custom Team or Expense Fields that have been applied in exports.
3. If you have any custom export templates configured, you will see the option to select any of your custom export templates or to choose the Default CSV export option. If you don't have any custom export templates configured, the Default CSV export option will be applied automatically.
4. Choose the format you would like to export in:
- CSV, Pipe Delimited, and Semi-Colon Delimited exports contain raw expense data (User, Merchant, Amount, Date Submitted, Date Transacted, Approval Status, etc). For a standard comma-separated format, leave the default of CSV. Otherwise, select the delimiter that meets your needs.
- The PDF Export contains a coversheet of the expense data along with an appendix with all of the associated receipt images.
*Please note: PDF and CSV formats have a limit of 2,500 items per export. You may need to export your data in smaller batches.
5. Check the box if you wish to export any disabled expense tags.
6. Click Export. You will receive an email when the export is complete.
Export Reimbursable Expense Data
If you're using SVB T&E to reimburse out-of-pocket expenses, you may follow a similar process to export expense data on the Reimbursable Expenses page. Click Reimbursements on your Personal, Manager, or Admin sidebar.
By default, you will be brought to a list of all of your Needs Review transactions, but you may click the tabs above the list of transactions to view transactions in each section that meet these criteria:
