Why was I assigned to be a Delegate?
If you have been designated a Delegate, you can now submit expenses on behalf of other users! This is helpful if your department is using a shared corporate card or you need to expense on behalf of a teammate from time to time.
Talk to your administrator if you have questions.
*Please note: Delegates can only submit corporate card expenses for their designated user(s). Delegates are not able to submit reimbursable expenses for these users. From a security and safety standpoint, SVB T&E pays reimbursable expenses directly to the user. If the Delegate submits reimbursable expenses for their users, they will not have access to verify the banking information or other personal data.
What does it look like to be a Delegate?
As a delegate, you will see a new sidebar menu next to your personal sidebar as you log into your account. This will allow you to toggle between your own personal account, and your Delegate account where you can view the pending transactions of the user's you are assigned to.
To view the transactions, toggle to your "Delegate" view, and then click 'Delegated Transactions'. This page will show all the pending transactions of the user's you're a delegate for.
You can search for a specific transaction or sort by 'User', 'Category', 'Transaction Status' and more to easily find the transactions they are responsible for submitting.
For example, if I needed to submit an expense for Emily, I could search for her name in the "Users" filter and see all the recent transactions from her corporate card.
To submit an expense, either click the "Submit" button if the details are filled out or click the "menu" button to the right and select "Edit" to add the necessary details before submission.
This will pop open the regular expense submission window. You can even choose from the receipts bin of the cardholder by clicking the "Browse Receipts" button!
Once you have filled out the information, submit the expense by clicking "Send for Kaley Submitter". You will now be able to see the expense in the "Submitted" tab of the 'Transactions' page.
Looking at that expense's details, your approver will be able to see that you have submitted that expense on behalf of that employee. You are able to add comments if they have any questions.
