As an admin, you may need to edit the fields of multiple expenses at once before approving them. For example, this is useful if you want to change the merchant name for a group of expenses. If you've updated your category names, you may also need to update the categories in bulk.
*Please Note: The function can only be applied to submitted transactions, not pending transactions.
Types of bulk actions
You can take several bulk actions on expenses:
- Approve and Deny
- Reassign the approver
- Edit the Merchant
- Edit the Category
- Edit a Team Field
- Edit an Expense Field
Bulk edit submitted expenses
To bulk edit expenses:
1. On the Transactions or Reimbursements page, check the boxes next to the expenses you would like to edit.
2. To select all expenses that meet your filter criteria, check the box in the header row.
4. Check the box next to the field(s) you would like to change.
5. Enter or select the new value from the dropdown menu.
6. Click Save.
Bulk edit and submit pending submissions
As an admin, you can edit, queue, and submit transactions on behalf of users. This reduces the need to wait for users to take action.
On the Transactions page, go to the Pending Submissions tab. Use bulk edit to update multiple expenses at once, then submit them to keep everything moving. The Status column helps you track progress and monitor workflows.
